Stage 1

1. Case Initiation & Client Cataloguing

The acting solicitor or licensed conveyancer opens the case in under 60 seconds by entering the property address and inviting their client. The seller is provided with a guided, structured UK property catalogue covering:

  • Heating & Climate: Heat pump logins, smart thermostats (Hive, Nest, Tado), and boiler service histories.
  • Clean Tech & Power: Solar inverter management portals, battery storage systems, EV charge points, and utility meter readings.
  • Security & Access: Smart locks, video doorbells (Ring), intruder alarms, and automated entry gates.
  • Connectivity: Router network names, guest logins, and administrative access codes.

All sensitive passwords and codes are immediately isolated within our bank-grade zero-access vault. The buyer and their legal team cannot view any passwords or private contact details during this stage.

Document Sharing with Automated Anonymisation

Sellers frequently upload boiler Gas Safe records, electrical certificates (EICR), FENSA window guarantees, and building control completion notices that contain personal mobile numbers, billing details, and personal signatures.

Stage 2

2. Confidential Relay Masking & Virtual SMS

In traditional sales, sellers often make the mistake of handing over accounts tied to their personal email address, or factory-resetting devices, which wipes heating schedules and locks the buyer out.

DeedBox eliminates this through Protected Relay Masking:

  • Each household account is assigned an anonymous, dedicated relay address: account-ref@relay.deedbox.io.
  • A virtual UK mobile number is assigned to the case to receive two-factor authentication (2FA) codes.
  • Prior to completion, all security alerts and verification codes route to the seller.
  • Neither party's personal email or telephone number is ever revealed to the other.
Stage 3

3. Dual-Conveyancer Completion Arbitration

Conveyancers are the legal guardians of the transaction. DeedBox places the release of digital property strictly under the control of both legal representatives:

  • In England & Wales: Both conveyancers confirm that completion funds have cleared across client accounts and keys have been released.
  • In Scotland: Both solicitors confirm that settlement has occurred on the contractual Date of Entry.
  • In Northern Ireland: Both legal firms independently confirm formal completion.

One confirmation alone is never sufficient. Release requires independent, matching confirmations from both firms. Unilateral action by either party is technically impossible.

The moment both legal firms have verified completion, DeedBox automatically executes the digital transfer:

  • Relays Transfer: Account management emails and SMS forwarding flip instantaneously to the buyer.
  • Credentials Unlocked: The buyer accesses verified passwords and configuration codes with no risk of vendor lockouts.
  • Unredacted Documents Released: The full original Gas Safe, warranty, and compliance certificates become permanently available to the buyer.
  • Certified Transaction Statement: An evidentiary completion record is generated for both solicitors' transaction files and preserved in our 6-year tamper-proof legal archive.
